Setting it up for success

  • In LeaveWizard, leave types are the event types that employees are typically allowed to request and they usually come up with an allowance like annual leave or annual holidays. 

  • While Absence types are the event types that must be recorded by a manager or HR admin. Like sickness or lateness or another form of employee absence.

  • Your way of operating will dictate the number of leave and absence types you will need. Most organisations will find that one Leave type (e.g. Holiday) and one Absence type (e.g. Sickness) are sufficient.

  • In addition, LeaveWizard allows you to track many other events, should you wish to do so. For example - Employee Training or Maternity leave, or even Working from Home (WFH)

  • If not every event type can be booked by everyone in your organisation then you will have to correctly configure who is allowed to book what. You can do that from the Event types and allowances screen as per the screenshot.

Leave and absence approvers

  • Once you have your event types set up, you will have to consider your approver structure. 

  • LeaveWizard allows you to set up a separate configuration for every event type, therefore, allowing you the flexibility to have a different set of approvers.

  • You can have two different approvers at the first level - ie they will get the initial request at the same time. You can optionally also have a secondary approver who will get the request once it has been approved by the first-level approvers. 

  • Our intuitive UI will help you ensure that you don't leave any unapproved employees and you'll be able to quickly make changes as appropriate.

  • When you have it all done, our system will use the configuration to send requests to managers via email and the smartphone apps and will also send daily reminders to ensure that requests are actioned as soon as possible.

Allowances and entitlements

  • LeaveWizard allows you to specify several important settings for every single employee.

  • This includes Employee Start and End dates and Employee Leave Year which is the date in the year when allowances reset. For most organisations this is always 1st January however it often differs.

  • When setting up these dates LeaveWizard uses its build-in staff annual leave calculator to calculate for you exactly how much the allowance for this employee for every event type will be.

  • LeaveWizard will also take into account any public holidays and whether they are included in the employees' allowance as well as the specific employee work pattern that is in use. You can read more about our flexible work patterns here.

  • All these factors will determine the annual allowance entitlement and they will be calculated by our built-in staff annual leave calculator for your convenience.

Rules and restrictions

  • LeaveWizard allows the configuration of several important rules and restrictions to help streamline your holiday leave planner. 

  • You have control over the number of people who can be off on any day and you can specify that per workgroup or per custom group.

  • You will also be able to apply these restrictions for a given period of time or in general. 

  • LeaveWizard allows you to control the visibility of events based on user roles. For instance, you may want to "hide" the details of sensitive events like compassionate leave from all employees but allow line managers to see them.

  • You can also use powerful functions like requiring events to be requested in advance (e.g. 7 days in advance) or allowing only the accrued portion of the allowance to be booked.

  • The combination of all these features gives you control over your staff holiday planner and a peace of mind.
